Frequently Asked Questions

Getting Started

No. There is no sign-up, no login and no password. The app uses the iCloud account you already have.

Because your clients live in Apple Contacts rather than in a separate database inside the app. That is the whole point: your client list stays yours and syncs through your own iCloud. You can decline, but you will then be typing client details by hand.

Four things: a company name, one provider, one location and one service. The app walks you through it on first launch and marks each with a colored dot until it is done. It takes about five minutes.

Yes. Add yourself. Once there is exactly one provider and one location, the app stops asking you which to use. Thirty seconds now saves a tap on every appointment afterwards.

Sign in with the same Apple Account. Everything arrives on its own. There is nothing to export, import or migrate. The first sync on a new device can take a minute.

Yes. The app works against local storage on a single device. You lose sync between devices. Nothing else changes.

Plans and Billing

Every feature, for up to 10 active clients. No time limit, no trial countdown, nothing switched off.

$24.99 a month, and it removes the client limit. Nothing else changes. There are no Pro-only features.

No. Even Better. The free plan is not a trial. It is a permanent tier with the entire app in it.

A client is active if they have booked in the last 90 days, or if they have an upcoming appointment.

No. The 90-day window only ever moves forward. Canceling, a no-show, rescheduling or deleting the appointment does not shorten it. The slot frees up when the 90 days run out.

You carry on as normal with your existing clients. Booking an eleventh new client is what gets blocked, with the option to upgrade.

If more than 10 of your clients are active when Pro ends, the app asks you to choose which 10 keep their slots. It never deletes anything. Clients you do not choose keep all their records and stay fully visible. You can still view, cancel and complete what is already booked. What you cannot do is book them again until a slot opens or you resubscribe. All reporting will remain active. You can export full reports at any time.

No. Nothing is deleted, hidden or locked. Your records and history stay available and exportable. You can export the data from your iPhone, iPad or Mac. You do NOT need to contact support.

Through Apple, like any subscription. Settings → Subscription → Manage Subscription takes you to your App Store subscriptions. We cannot cancel it for you, and we never see your payment details.

No. The subscription is not family shareable. Any device logged in to the SAME Apple ID will share the same data and be able to make appointments. This is intended to work as a business application on multiple devices, but not multiple accounts.

No. One subscription covers your iPhone, iPad and Mac.

Privacy and Data

On your devices and in your own iCloud account. Contact details are stored in Apple Contacts, appointments in Apple Calendar, and everything else, including notes, photos, pricing and history, is stored in a private database inside your iCloud account, accessible only to you. There is no Book Visit Now server involved and we never see or store your data.

No. Book Visit Now operates no servers. There is nowhere for your data to go and no way for us to see it.

No, and we could not if we wanted to. The app has no channel to your clients at all. They never install anything, never create an account, and never interact with Book Visit Now.

None. No third-party sign-in, no payment processor, no analytics, no advertising, no crash reporting service, no outside AI. The only network destinations are Apple's.

No. The Smart Summary button on a treatment note uses Apple's on-device model. The text never leaves your device.

Book Visit Now makes no such claim. Book Visit Now is designed as a general business scheduling and client-management app, not a healthcare product, and it provides no medical service. If you are subject to a regulatory regime, that assessment is yours to make.

Your clients remain in Apple Contacts and your appointments remain in Apple Calendar. Both were always yours and never lived inside the app. Everything else exports to CSV or PDF.

What the app does not do

No. That is a deliberate choice rather than a missing feature, Online booking would require your client list to pass through a server we operate. If self-service booking is essential to you, we may be the wrong product and we would rather say so.

We do not connect with any outside online appointment service. You might subscribe to an online service that takes appointments for you that you manually input into Book Visit Now, but you run the risk of double booking. Our product is for those that want complete control of their appointments.

Not in the app. We do not process payments, so there is no card on file and no ability to take deposits or bill automatically for a no-show.

No. Book Visit Now is built specifically for Apple platforms and there are no current plans for Android.

Not at this time. The app is built around one Apple Account for the business. You can define multiple providers and assign appointments to them. You can even set up multiple physical locations. The app works with only a single iCloud account.

Using Apple's current calendar sharing, you can share calendars with other iCloud users. If the other user makes changes to the calendar from their own device, the calendar might sync, however, those changes will not push into Book Visit Now.

We can see a possible need where multiple providers might each have their own Book Visit Now apps, running on their own iCloud accounts and share their calendars with each other. This would allow 'visibility' through Apple Calendar to each other's schedule, but not visibility or interactivity through Book Visit Now.

No. Book Visit Now does not connect to third-party services. Reports export to CSV for your accountant.
